Below is some guidance on the sorts of things you could include in your volunteer agreement.

  • A brief ‘hello and welcome’ and a reminder of how each volunteer makes a valued contribution to the organisation’s mission 
  • What the volunteer can expect, for example:
  • Induction training and ongoing support from a member of staff  
  • A safe environment to work in, including all protective equipment needed  
  • A respectful, positive, and non-discriminatory culture  
  • Relevant and up to date information and advice to support you in your volunteering role  
  • Reasonable reimbursement of travel/parking or other expenses 
  • Access to welfare facilities 
  • Insurance to cover you in your volunteering role 
  • Compliance with GDPR and keeping your personal data safe 

In return, what the organisation can expect of the volunteer, for example:

  • Participation in all required training and induction activity 
  • Fulfill shifts as agreed 
  • Perform your volunteering role to the best of your ability  
  • Always follow health and safety guidance as directed by your manager 
  • Treat others fairly, with dignity and respect  
  • Ask us if you are unsure and be open and honest in your dealings with us  
  • Always respect and maintain confidentiality 
  • Report immediately to your manager anything that is likely to pose a threat or danger to people 
  • Report any safeguarding concerns you may have
  • Advising your insurance company if you are asked to use your car as part of your volunteering role
  • Let us know if we can improve the service and support that you receive 

You might also add statements to encourage the agreement being adhered to, for example:

'This agreement is binding in honour only, it is not intended to be a legally binding contract between us and may be canceled at any time at the discretion of either party. Neither of us intends any employment relationship to be created now or at any time in the future.' 

or

'In the unlikely event of you behaving in such a way that threatens the work or reputation of the organisation; or threatens people connected with our work, other volunteers, or members of the public, you will be asked to stop volunteering with immediate effect. '
